How do I obtain an official transcript?

Before ordering transcripts, please be certain that you do not have any holds that will prevent the processing of your request. There are two ways to order an official transcript. You may fill out the Request for a Transcript Form in person or mail your request. Request forms are available online If you do not have access to a computer, a letter will suffice. Please include:

  • your name,
  • GSU I.D. # or social security number,
  • your current mailing address,
  • the complete mailing address where the transcript is to be sent,
  • and your signature.

A fee of $10 is required for each official transcript and is payable by check or money order to Governors State University. Mail your request to: Attention - Registrar's Office, Governors State University, One University Parkway, University Park 60484-0975. Unofficial transcripts are available online at www.govst.edu/online.

How long does it take to get a transcript?

Processing time is usually 2–3 working days with the exception of peak periods (e.g., end of the term, grade processing, commencement, or the first week of classes). If there is a special urgency for the transcript, please contact the transcript clerk.

How do I get a refund for courses that I dropped, and what about withdrawing from courses?

Refunds are available to students who drop courses by the 100% refund deadline. Students who drop after the 100% deadline but prior to the withdrawal deadline will not be entitled to a refund (or cancellation of tuition/fees) and will receive a "W" grade for the course. Refund deadlines are published in the academic calendar in the Schedule of Classes. Some short term courses and alternate calendar courses have their own, specific refund and withdrawal deadlines which are published in the course section information in the Schedule of Classes.

I didn't drop my class by the refund deadline.

I forgot to withdraw from my class by the withdrawal deadline. I want to change the grading option to P/NC. Is there anything I can do?

Students may appeal for an exception to the refund policy, withdrawal policy, or grading option policy provided there were extenuating circumstances that prevented you from complying with the specific policy. The appeal form which covers all three policies is available over the counter and on the Web. Please carefully follow the instructions on the form. Decisions on appeals are made by the Registrar.

How do I remove an orientation hold?

Orientation is mandatory for all undergraduate degree seeking and undeclared students and is now totally online. As soon as students are admitted, the orientation hold is automatically placed on their records. They must do the online orientation in order to have the hold released and to register.

How can I get an Incomplete ("I")?

Professors are responsible for following the guidelines in the Faculty Grading Handbook for issuing a grade of "I". Essentially, students are suppose to have completed some work and the decision to grant an incomplete is up to each individual instructor.

Can I get an extension to an Incomplete ("E")?

Students may complete a Request For An Extended Incomplete form available over the counter. There must be exceptional circumstances preventing the student from completing the course. The student submits the form to the professor for approval by both the professor and the dean. The professor then submits the form to the Registrar's Office along with the Grade Resubmittal Form for the extended incomplete grade ("E").

I have an "M" for a grade. What does that mean?

A grade of "M" stands for missing grade which is the grading code used when professors fail to turn in grades by the grade deadline. The process for professors to follow after an "M" has been posted is the same process as giving an "I" (incomplete). Grade Resubmittal Forms (GRFs) are distributed to the colleges for distribution to professors to record grades and submit to the Registrar's Office. Deadlines for submitting final grades for M's and I's are published in the academic calendar. However, professors are to submit GRFs immediately for prior M's and as soon as outstanding requirements have been met for I's.

No, this is a violation of FERPA. Students can access their own grades and other records on the web at www.govst.edu.

You may change the grading option during the registration period for the term you registered for the course.

Can I get Registrar's Office forms online?

All student forms are available on the web at Forms Online. At this time students cannot transmit forms electronically; they can print them and mail them to us. (If students want a copy of their form before submitting it to the office, they are responsible for making their own copies.)
